01 Requirements

Typically, a premium stand at an international technology exhibition will cost upwards of £20,000 for a 5-day event. Add to that staff costs, travel expenses, and the loss of productivity while away from the office, it can easily cost in excess of £100,000 to launch a product at a single exhibition. Even with such large expenses, you cannot always guarantee reaching all of your target customers. The challenge was set – how to get people to attend the event without leaving their home or office.

02 Solution

The basis of the solution was a proven event management system which handled all the bookings, invitations and email/SMS broadcasts. On top of that we added a presentation layer which allowed multiple environments to be created utilising streaming media, graphical presentations, document downloads, and two-way interactive chat. Access controls ensure that brand sensitive content can only be accessed by relevant people at the right time.

03 Result

The end result was the development of a Virtual Event Management (VEM) system which allows event organisers to create and manage all aspects of the event. It eliminated the need for event venues, hotels, travel and lost productivity, whilst conveying all of the information and benefits of attending a traditional face-to-face event. Visitors from around the world were able to simultaneously attend product launches in the comfort of their own surroundings. Success!
